Procurement software without the long rollout.

PROCAI covers the buying cycle from finding suppliers to comparing their quotations: AI supplier search, RFQs sent from your own mailbox, and comparison sheets built by AI and checked by you. Sign up on the web and run your first sourcing cycle the same day.

What is procurement software?

Procurement software is the system a buyer uses to run purchasing: finding and contacting suppliers, requesting quotations, comparing offers and keeping a record of who approved what. It is distinct from an ERP, which records purchases after the decision is made. Procurement software does the work that produces the decision.

PROCAI covers that request to award cycle in one workspace. AI does the repetitive parts, searching for suppliers, sending the RFQ to the whole shortlist and reading the quotations into one sheet. The judgement parts, choosing the supplier and approving the spend, stay with you.

What one workspace covers.

Sourcing, RFQs, comparison and approvals, each feeding the next step.

Sourcing and RFQs

  • AI supplier search: describe what you need in plain language and get suppliers with emails, phones and websites, in up to 3 countries at once
  • RFQs sent from your own Gmail, Microsoft 365 or SMTP mailbox, so suppliers reply to you, not to a platform
  • One RFQ reaches your whole shortlist at once, with replies, bounces and silent suppliers tracked against it
  • Free RFQ templates by material, written by a procurement engineer and ready to copy

Quotations and comparison

  • Upload supplier quotations as PDF, Excel, Word, CSV or photos, each in the supplier's own layout
  • AI reads every line and puts the same item from different suppliers on one row
  • Each quotation's currency and VAT are read from the document, with a US dollar total when currencies differ
  • The sheet stays editable, and exports to Excel or PDF for the award meeting

Approvals and the team

  • Enterprise workspaces run an eight step purchase requisition to purchase order pipeline with named roles
  • Quotations collected by an RFQ and the comparison sheet attach to the workflow steps where they belong
  • Team management, shared credits and an audit trail of who did what and when
  • API access for enterprise plans, running the same actions as the dashboard

How to set up procurement software in four steps.

No installation, no supplier database import, no ERP change.

  1. 1

Sign up and describe your first need

Create a free account on the web, no credit card. Describe what you need to buy in plain language and pick the countries to source from.

  2. 2

Connect the mailbox you already use

Link Gmail, Microsoft 365 or a custom SMTP mailbox once. Every RFQ sends from your own address and supplier replies stay in your own inbox.

  3. 3

Send one RFQ to the shortlist

Write the request once, or start from a free template, and send it to every shortlisted supplier at once. Replies and bounces are tracked for you.

  4. 4

    Compare the quotations and award

Upload the quotations as they arrive and get one side by side sheet. Check it against the originals, export it, and make the award.

What procurement software should not promise.

A tool you trust with purchasing decisions has to be clear about its edges. These are PROCAI's.

  • It is not an ERP. There is no invoice matching, goods receipt or payment. PROCAI ends when the purchase decision is made and sits alongside your ERP rather than replacing it.
  • It does not vet suppliers. Search results come from public business listings and company websites, and qualifying a supplier stays with the buyer.
  • It does not score tenders. There is no weighted scoring, sealed bidding or supplier portal. Suppliers reply by normal email.
  • It does not decide. Nothing is awarded, selected or purchased automatically, and every AI output stays editable.

Procurement software, answered.

What does procurement software do?

It runs the steps between needing something and ordering it: finding suppliers, sending requests for quotation, collecting and comparing the offers, and recording the approvals. Good procurement software removes the retyping and chasing, and leaves the buyer with the decision. PROCAI adds AI to the slowest steps: supplier discovery, reading quotations and matching line items across suppliers.

How is procurement software different from an ERP?

An ERP records purchases after the decision: purchase orders, goods receipt, invoices and payment. Procurement software produces the decision: it finds the suppliers, collects the quotations and builds the comparison the purchase order is based on. PROCAI covers request to award and passes the result to whatever ERP or accounting system you already run.

How much does procurement software cost?

PROCAI's Free plan gives 8 credits once, when you sign up, and 30 RFQs a month, no credit card. Paid plans start at $20 a month with Starter for one buyer, then $39 a month for a solo buyer with more volume, $119 a month for a team of three sharing AI agents, $349 a month for a team of five running AI agents at volume, and enterprise packages from $799 a month with the approval workflow, team management and API.

Do suppliers need an account or a portal?

No. Suppliers receive a normal email from your own address and reply to it like any other enquiry. Nothing to register for and no portal to learn means suppliers actually answer, and the conversation stays in your mailbox where it belongs.

How long does it take to roll out?

One session. There is nothing to install, no supplier database to import and no category tree to configure. Sign up, connect the mailbox you already use, and send the first RFQ the same day. A single buyer can run it alone, and enterprise workspaces add roles and the approval pipeline when the team grows.

Does PROCAI make the purchasing decisions?

No. PROCAI prepares the work: the supplier list, the RFQ, the comparison sheet. A person reviews each one and makes every decision, and on enterprise plans the eight step workflow records who approved what. The AI can misread a poor scan, which is why every cell of a comparison sheet stays editable and the originals sit next to it.
