Construction procurement, from enquiry to award.

Built around how contractors actually buy: material packages, supplier quotations in every layout, unit rates that must line up before the award. Find suppliers, send material RFQs with the right technical asks, and compare the quotations line by line.

What is construction procurement software?

Construction procurement software manages the buying side of a project: sourcing suppliers for each material package, requesting quotations against the specification, and comparing offers item by item before the purchase order. It differs from generic purchasing tools in what it must survive: quotations that arrive as scans and photos, unit rates and partial scopes, standards and certificates that decide whether an offer is usable at all.

PROCAI was shaped on construction buying. Its free RFQ templates were written by a procurement engineer against real Saudi construction packages, and its comparison sheet matches supplier line items across layouts, currencies and languages.

Materials in, comparison sheet out.

The three jobs between a site request and a purchase order.

Find material suppliers

  • Search for suppliers of any material or service in plain language, up to 3 countries at once
  • Results carry emails, phones and websites, gathered from public business listings and company websites
  • Free sample supplier lists by material for Saudi cities: steel rebar, ready mix concrete, cement, electrical cables, PVC pipes and more
  • Your own supplier lists upload too, and RFQs can go to them directly

Material RFQs with the right asks

  • Templates per material carry the technical asks that make replies comparable: grades and standards, mill certificates, delivery breakdowns
  • Steel rebar, ready mix concrete, cement, electrical cables, PVC pipes, gypsum board, ceramic tiles and diesel generators are covered today
  • Each ask is annotated with why it matters, so junior buyers learn the package while they send it
  • Attach drawings and bills of quantities to the RFQ; suppliers reply by normal email

Quote comparison for site buying

  • Quotations upload as PDF, Excel, Word, CSV or site photos, each in the supplier's own layout
  • The same item is matched across suppliers even when described differently
  • Currency and VAT are read per quotation, with totals in the original currency and US dollars when they differ
  • Export to Excel with the original quotations embedded, ready for the award meeting

How to buy a construction materials package in four steps.

One package, one RFQ, one sheet.

  1. 1

    Define the package

Take one material package from the programme, rebar for a pour, tiles for a floor, and open the matching template so the specification and asks are complete.

  2. 2

    Build the shortlist

Run an AI supplier search for the material and city, add suppliers from your own lists, and shortlist the ones that fit the package.

  3. 3

Send the identical RFQ to everyone

The same scope, the same day, from your own mailbox. Replies and bounces are tracked, so chasing is a glance, not a spreadsheet.

  4. 4

Compare line by line and award

Upload the quotations and get one sheet with unit rates matched across suppliers. Check it against the originals, export it, and place the order.

What it does not do on a project.

PROCAI covers buying, not the whole project. The edges are deliberate.

  • It does not take off quantities. The quantities come from you or your estimator; PROCAI prices and compares what you ask for.
  • It is not project management or site software. No programmes, progress tracking or delivery scheduling.
  • It does not vet suppliers or certificates. The sheet shows what each supplier offered; checking a mill certificate or a SASO conformity claim stays with your engineer.
  • It ends at the purchase decision. Invoices, goods receipt and payment live in your ERP or accounting system.

Construction procurement, answered.

What makes construction procurement different from other purchasing?

Three things: the documents, the stakes of specification, and the pace. Quotations arrive as scans, photos and odd spreadsheets priced in unit rates against partial scopes. An offer that misses the grade, standard or certificate is not cheap, it is unusable. And packages are bought under programme pressure, so retyping quotations into Excel is the step that slips. PROCAI is built for exactly those three.

Can it compare quotations against a bill of quantities?

PROCAI compares the quotations against each other, line by line, which is where retyping errors happen. Attach your bill of quantities to the RFQ so every supplier prices the same scope; the sheet then puts their rates for each item side by side. It does not take off quantities, and if two suppliers priced different scopes the sheet shows the difference rather than hiding it.

Which materials have ready RFQ templates and supplier lists?

Templates: steel rebar, ready mix concrete, cement, electrical cables, PVC and uPVC pipes, gypsum board, ceramic tiles and diesel generators, each annotated ask by ask. Free supplier lists cover the same materials for Saudi Arabia, with city pages for Riyadh, Jeddah, Dammam and Al Khobar where coverage is strong. Any other material or service can be sourced with a search.

Does it handle subcontractor and service quotations?

Yes. Quotations for services compare the same way as for materials: the lines are extracted and matched across offers. The usual caution applies more to services, scopes drift more than material specs, so the sheet makes scope differences visible and the award judgement stays with you.

Does it work on site, from a phone?

The web app works in a phone browser and quotations can be uploaded as photos, which are read with OCR. A clear photo of a clean page reads well; a blurry photo of a crumpled page does not, and the sheet is editable precisely because site documents are imperfect.

What does it cost for a contractor?

A buyer can start free, with 8 credits once, enough for a real test on a live package, and 30 RFQs a month. Paid plans scale by usage rather than by project count, and enterprise packages add the approval workflow from purchase requisition to purchase order with Engineer, Procurement, Cost Control and Manager roles. See the pricing page for current numbers.
