Procurement with AI, where it actually helps.

AI is useful in procurement where the work is reading and retyping: finding suppliers, turning quotations into one sheet, and drafting RFQs from email enquiries. PROCAI applies it exactly there and leaves every decision to you.

What is AI procurement software (artificial intelligence procurement software)?

AI procurement software, also called artificial intelligence procurement software, uses machine reading and language models to do the procurement tasks that are really document work: extracting line items from supplier quotations, matching the same item across different layouts, finding supplier contact details, and turning an emailed enquiry into a structured request for quotation. The judgement tasks, choosing a supplier and approving spend, are not AI tasks and should not be.

PROCAI is built on that split. The AI prepares, a person decides. Every AI output, a supplier list, a draft RFQ, a comparison sheet, arrives editable and reviewable, with the source documents next to it.

Where the AI works, and what it reads.

Three places where reading speed beats a human, and none where judgement does.

What the AI does

  • Finds suppliers from a plain language description, with emails, phones and websites, in up to 3 countries at once
  • Reads supplier quotations and matches the same line item across suppliers into one sheet
  • Reads each quotation's currency and VAT from the document and works the totals out
  • On Team, Professional and Enterprise plans, an agent reads emailed enquiries and prepares the RFQ with suppliers matched from your own lists

What it reads

  • PDF, Excel (.xlsx, .xls), Word (.docx, .doc), CSV, and JPG or PNG photos and scans, read with OCR
  • Quotations in the language they were written in, including Arabic with Arabic Indic numerals
  • Forwarded .msg and .eml messages and zip archives, when the agent reads an enquiry
  • Suppliers' own layouts. No template is forced on anyone

How you stay in control

  • Every cell of a comparison sheet is editable and the original quotations sit beside it
  • The agent has three stages, approve each RFQ before it sends, send after a delay you can cancel, or fully automatic, and you pick the stage
  • When the agent reads an enquiry, a number not found in the source is left blank, never guessed
  • Nothing is awarded or purchased automatically, on price or on anything else

How to bring AI into your procurement in four steps.

Start with one sourcing cycle, not a transformation programme.

  1. 1

    Run one AI supplier search

Describe a real current need in plain language and read the results. You will know in minutes whether the coverage fits your category and markets.

  2. 2

Send the RFQ from your own mailbox

Connect Gmail, Microsoft 365 or SMTP and send one request to the whole shortlist. Replies, bounces and silent suppliers are tracked against it.

  3. 3

Let the AI build the comparison sheet

Upload the quotations as they arrive. The AI extracts every line, matches items across suppliers and states each quotation's currency and VAT.

  4. 4

    Review, then widen the scope

Check the sheet against the originals and make the award. When the routine holds, add the agent so emailed enquiries arrive as prepared RFQs.

What AI should not do in procurement.

The limits are the design, not the fine print.

  • AI can misread a document. Poor scans, handwriting and unusual layouts are the usual causes, so every extraction is editable and meant to be checked against the source.
  • AI should not pick the winner. Price is one column; lead time, compliance, payment terms and supplier history are yours to weigh.
  • The agent only emails suppliers from the lists you uploaded, and only from your own address. It never finds and contacts strangers on its own.
  • AI does not vet suppliers. Search results come from public listings and company websites; qualification stays with the buyer.

AI in procurement, answered.

What is AI used for in procurement?

The highest value uses are reading tasks: extracting line items from quotations, matching the same item across suppliers, finding supplier contact details at scale, and turning emailed enquiries into structured RFQs. These are hours of retyping done in minutes. Uses that promise to make the award decision for you trade accountability for speed, and PROCAI deliberately does not offer them.

How does AI compare supplier quotations?

Each quotation is read line by line, in its own layout and language, and the same item from different suppliers is placed on one row, even when suppliers described it differently. Currency and VAT are read from each document and the totals are worked out, with a US dollar total when currencies differ. The output is an editable sheet, not a verdict.

Can the AI send RFQs by itself?

Only if you tell it to. PROCAI's agent has three stages: in stage one every prepared RFQ waits for your approval, in stage two it sends after a delay you can cancel, and in stage three it sends automatically. In every stage an enquiry the agent could not read cleanly drops back to an approval card, and it only writes to suppliers from the lists you uploaded.

How accurate is the AI, and what happens when it is wrong?

Accuracy depends on the documents. Clean PDFs and spreadsheets read well; poor scans, handwriting and unusual layouts are where misreads happen. PROCAI's answer is review by design: the comparison sheet is editable cell by cell with the originals beside it, and the agent leaves a value blank rather than guess a number that is not in the source.

What languages does it work in?

Quotations are read in the language they were written in, including Arabic with Arabic Indic numerals, and quotations in different languages can sit in one sheet. The interface is available in English and Arabic. The agent's test set included English, Arabic, Azerbaijani, Russian and Turkish enquiries, including mixed language forms.

Is AI procurement software worth it for one buyer?

Yes, because the saved time is in the tasks a solo buyer does personally. By PROCAI's own estimates, a supplier search that takes around 8 hours by hand takes around 15 minutes, and a comparison sheet that takes around 3 hours takes around 5. The Free plan exists so a single buyer can test that on a real sourcing cycle with no credit card.
