What to ask for, and why

The numbered list at the bottom of the template is what makes replies comparable. Each line is routinely left out of quotations, and routinely decides which offer is really the cheapest.

  1. 01Unit price per valve, stating type, size, pressure class and body material

A carbon steel valve and a stainless steel valve of the same size are not the same price or the same product. Until every price names its type, class and material on the face of the offer, the cheapest line on the table may simply be a lower specification.

  2. 02Brand, model and country of manufacture

Valves of the same description vary widely in quality and spare parts support. Naming the brand and model lets you check the datasheet and compare like with like, and it stops a quoted brand from being swapped at delivery.

  3. 03Datasheet and the design and test standard the valve meets

A pressure test certificate to the stated standard is what tells you the valve will hold at its rated class. Asked at quotation stage it is priced and committed; asked at delivery it becomes an argument.

  4. 04Actuator and accessories priced separately

On automated valves the actuator, positioner and limit switches can cost more than the valve itself. A lump sum hides that, and an itemised offer is the only kind a comparison sheet can read line by line.

  5. 05Price basis, ex works or delivered

Freight and duty on heavy valves are a real share of the cost. A lower ex works price can lose to a higher delivered one once transport is added, so state which one you are being quoted.

  6. 06Lead time from purchase order

Larger sizes and special materials are often made to order. A cheap valve that arrives after the pipework is installed costs more than a dearer one that arrives on time.

  7. 07Warranty period and offer validity

Two offers at the same price with different warranty cover are not the same offer, and a short validity can expire before your approval cycle finishes.
