What to ask for, and why
The numbered list at the bottom of the template is what makes replies comparable. Every line below is there because it is routinely left out of a quotation, and routinely decides which offer is genuinely the cheapest.
01Price per tonne (bulk) or per bag, stating delivered or ex-works
Bulk and bagged are different products with different handling costs on your side. Asking for the basis in the same breath as the price stops you comparing a silo delivery against a pallet of bags.
02Producer / brand offered
A quotation that does not name the source cannot be compared honestly against one that does. It also cannot be checked against a specification that names an approved producer.
03SASO conformity and mill certificate confirmation
Conformity is cheap to confirm at quotation stage and expensive to establish after a consignment is already on site.
04Lead time from purchase order
Cement is ordered against a pour programme, not a stock level. A supplier who is cheaper but two weeks out is not competing for the same job.
05Minimum order quantity
A keen per-tonne rate attached to a minimum you cannot take is not a keen rate. Ask for it up front rather than discovering it in the acceptance.
06Offer validity period
Cement prices move with fuel and demand. Knowing how long the number stands tells you whether you can still hold the supplier to it after approvals.
