What to ask for, and why

The numbered list at the bottom of the template is what makes replies comparable. Each line is routinely left out of quotations, and routinely decides which offer is really the cheapest.

  1. 01Unit price per camera, stating brand, model, resolution and lens

Two 5 MP cameras can differ in sensor, lens and low light performance. Brand and model on the offer let you check the datasheet, and stop a quoted model from being swapped at delivery.

  2. 02Recorder, hard drives and licences priced separately

The recorder, storage and software licences are often where offers differ most. A lump sum hides them; an itemised offer can be compared line by line.

  3. 03Recording days at the quoted resolution and frame rate

Storage decides how many days of footage you keep. Asking for the number of days at your settings makes two storage offers comparable.

  4. 04Installation, cabling and configuration itemised

Cable runs, brackets and setup can cost as much as the cameras. Itemised installation is the only way to see which offer is really cheaper.

  5. 05Warranty period and who provides local support

A camera that fails with no local service partner is an empty warranty. Ask who repairs or replaces it, and for how long.

  6. 06Lead time from purchase order

Projects wait on the cameras before handover. The cheapest offer that arrives late is not the cheapest.

  7. 07Offer validity period

Electronics prices change often. A short validity can expire before your approval finishes.
