AI procurement for small and medium businesses, without a procurement department.
If purchasing at your company is one person with an inbox and a spreadsheet, PROCAI gives that person what a procurement team would: a list of suppliers to ask, one RFQ sent to all of them, and a comparison sheet of what came back. It runs in the browser, starts free, and needs no setup project.
What does AI procurement mean for a smaller company?
AI procurement is the use of AI to do the clerical part of buying: finding suppliers, writing to them, reading their quotations and lining the offers up. Large companies buy source-to-pay suites for this and staff a team to run them. A smaller business usually has neither, so the work falls to an owner, an engineer or an office manager between other jobs.
PROCAI is an AI procurement platform sized for that situation. There is nothing to install, no supplier database to load and no ERP to connect. One person can sign up, run a supplier search, send an RFQ from their own email address and compare the quotations that come back. The purchasing decision stays with them.

What one person does, in the order they do it.
- 1
Describe what you need
Type the material or service in plain language and choose the country, for example electrical cable suppliers in Saudi Arabia. A Balanced single-country search costs 6 credits.
- 2
Pick who to ask
PROCAI returns suppliers with emails, phone numbers and websites gathered from public listings and company sites. PROCAI does not vet them, so choose the ones that fit and qualify them as you normally would.
- 3
Send one RFQ from your own email
Connect Gmail, Microsoft 365 or an SMTP mailbox, write the request once and send it to everyone you selected. Suppliers reply by normal email and need no account. Sending RFQs never uses credits.
- 4
Compare what comes back
Upload your item list and the quotations as PDF, Excel, Word, CSV or images and get one side by side sheet. Check it against the originals, then decide.
What it will not do for a small business.
Better to know before you sign up.
- It does not replace accounting or an ERP. There are no purchase invoices, stock records or payments.
- It does not vet suppliers. Search results come from public sources, so trade references, samples and site visits remain your job.
- It does not negotiate or award. PROCAI prepares the comparison, a person chooses.
- AI agents and the approval workflow are not part of the Free or Individual plans, apart from the one-time 7-day agent trial.
Small business questions, answered.
Can a small business use AI for procurement?
Yes. The parts of buying that AI handles well, finding suppliers, sending the same request to many of them, and turning quotations into a comparison, are the same whether a company buys for one site or fifty. PROCAI has no minimum team size, and a single user can run the whole cycle.
How much does AI procurement software cost for a small company?
PROCAI is free to start, with 26 one-time credits and 3 RFQs a month, and no credit card. The Individual plan is $39 a month for 40 credits and 50 RFQs a month. Extra credits cost $1 each and do not expire.
Do I need an ERP or IT support to set it up?
No. PROCAI runs in the browser. You sign up, connect the mailbox you already use, and start. There is no installation, no data import and no integration project.
Do my suppliers have to register or use a portal?
No. RFQs arrive as normal emails from your own address and suppliers reply the same way. PROCAI captures the replies on the RFQ.
Is it only for construction companies?
No. The free supplier lists and RFQ templates on this site cover construction materials in Saudi Arabia, but the search, RFQ and comparison tools accept any material or service you describe, and you choose the countries to search.
What happens when the free credits run out?
Supplier searches and comparison sheets pause until you subscribe or buy a top-up. Your 3 free RFQs a month continue.
Run your next purchase on the Free plan.
No credit card and no time limit. Upgrade only when the volume calls for it.
